    1. How do I apply to graduate?

    Applications can also be lodged on-line through the Web Enrolment System (WES).

    Please refer to further details under 'Apply to Graduate' section.

    Application closing dates are:

    • For students completing in semester 1 - 30 June
    • For students completing in semester 2 - 30 November

    Please note that these closing dates are strictly enforced and late applications will not be accepted or processed.

    2. Is there a fee to graduate?

    There is no graduation fee for students graduating in South Africa. Graduating students are responsible to hire their academic dress at their own cost. Please refer to further details under ‘ Academic Dress ’.

    3. Do I need to attend a ceremony?

    No. Students graduating in absentia will be sent their testamur and a copy of their academic record within three weeks after the ceremony date.

    All in absentia applicants must follow the same guidelines as those set for attending graduands, including the dates for applying to graduate.

    4. How do I know I have qualified for my degree?

    Any queries regarding your qualification should be directed to Academic Services (at Student Services Centre) .

    Students cannot graduate until they are course completed by Academic Services on the University Student Database.

    5. What date will my ceremony be held?

    The South Africa Campus graduation ceremony will be held on 11 February 2012.

    Two Ceremonies will take place on the day as follows:

    • 11h00 School of Arts/Social Science and School of Information Technology
    • 16h00 School of Business Science

6. Name Details

The name used at graduation will be the same as that on the University Student Database. Any changes must be advised in writing with appropriate proof (ie. passport, birth certificate etc).

7. Where is the graduation ceremony held?

  • Monash South Africa Campus Building F, Lekgotla Area

8. How long does a ceremony take and guest information?

The ceremony last for approximately 60 minutes.

Graduands however need to collect their academic gown and register before the ceremony and should allow appropriate time for photographs etc. and to return their academic gown after the ceremony.

Ceremony preparation for graduands

    • Undergraduate, postgraduate and masters graduands
      • You must be gowned and registered for a seat number at least one hour before the ceremony starts.
      • You must be in your seat 30 minutes before the ceremony starts for a short rehearsal.
    • During the ceremony
      • Guests must be in their seats 15 minutes before the ceremony starts.
      • Graduands have reserved seating and are seated in cohort order at the front of the hall and are not able to sit with their families or guests.

9. How many guest tickets are available?

Each graduand is issued with a ticket for themselves plus three guest tickets.

10. Academic Record

Graduands will receive:

  1. A free copy of their academic transcript
  2. Australian Higher Education Graduation Statement (AHEGS)

 The Australian government introduced this statement to improve the worldwide recognition of Australian qualifications. Monash provides graduation statements to students who graduate after 1st December 2010. You will receive a free copy of your AHEGS after you graduate.

Contents of the graduation statement

Your graduation statement will describe:

  • Monash University as the awarding institution
  • The Australian higher education system
  • Your award
  • Your academic achievements

Details can include:

  • Graduation and course name
  • Graduation status
  • Conferral date
  • Advanced standing
  • Completed units with mark and grade (distinction, credit, pass, fail or withdrawal)
  • Grade point averages (GPA) and weighted average marks (WAM)
  • Thesis abstract
  • Awarded prizes or special achievements
  • Awarded scholarships
  • Additional course details or special requirements achieved within the course

Replacement

You can request a replacement if:

  • You find an error or missing information
  • You receive a prize after you graduate for work done as part of your award

To request a replacement:

  • Visit your local student service centre
  • Telephone the student service centre on +2711 9504017

Common uses

You can use the graduation statement to:

  • Provide potential employers and other institutions with a way to compare qualifications both nationally and internationally
  • Enable a broad assessment of your achievements
  • Promote international mobility and professional recognition

11. Academic Dress Hire

Please refer to further details under 'Academic Dress' section.

12. Replacement Testamur

To obtain a replacement testamur, you must write to the Graduations Unit, Building 3C, Clayton Campus, Monash University, VIC 3800,AUSTRALIA,  providing the following details:

    • full name, student ID number and degree title.
    • a statutory declaration indicating what happened to your previous degree certificate and why a replacement is needed.
    • a current postal address
    • a fee of $108 AUD, paid by cash, cheque (payable to Monash University), money order, Visa, MasterCard or Bankcard 

Please note that:

    • the replacement degree will have the words "This is a replacement degree" in the body of the text and will include the original graduation date and the replacement date.
    • It takes three weeks to process the request and post out the replacement testamur.
