Guidelines for students to use the Monash South Africa Store Room

Preamble

A storeroom facility and master key are provided to the Head, Campus Protection Services who in the normal performance of his duties may be required to gain entry into the MSA storeroom.  The guidelines are developed to describe the guidelines for the use of a Monash South Africa storeroom facility for students.

Overview
Detailed information will be collated and recorded once equipment/goods and material has been placed in storage and where applicable an estimated value attached to the item(s) in question.  Access to the MSA storeroom will be managed by the Head: Campus Protection Services.

Master key for the storeroom facility: The master key is the sole responsibility of the Head : CPS.

Access: Requests are directed to the Head: CPS, to make use of Storage facility and information is recorded once storage has been secured.

Receiving of items to be stored: CPS supervisors receive goods/items to be stored (already sealed and confirmed with a signature of student across sealed item).  Both the CPS supervisor and student must sign register when goods are handed over and received for storage.  The sealing and boxing of the items is the responsibility of the student. Student must read the Use of MSA Storage Facility document when signing the register.

Property left behind by students in apartments: Property left behind by Students in apartments, will be itemised, tagged and noted in the register.  The Residence Manager will sign the register for goods that will be stored in the Monash Store and the CPS supervisors will receive such goods from the Head: CPS for storage.  If these goods are not collected after six months it will be referred to the Executive Director for decision.

Explaining responsibilities:
The following are the responsibilities of the staff member accepting the goods/items:

  • Keeping a copy of the storage receipt or goods received note.
  • If a student is not returning, then the Head : CPS must be notified and after 1 year of storage, report will be completed of Goods not collected and the Executive Director will be notified and a decision will be made.
  • Once goods have been received to store for a specific collection date, the date cannot be changed.  Goods can only be collected on the agreed date and time.
  • Goods/Items or equipment will only be released to the person whose name appears on the storage receipt and a student card must be presented that correspond with the item(s) in storage with the same corresponding details.
  • It should be noted that large valuable items (such microwaves, TV and surround systems) are secured by changing the locking mechanism of the room(s) using a different cylinder of which the only Master Key is with the Head : CPS – On the agreed return date/time, the locking mechanism and cylinder unit is changed back to the normal system (using the same booking system) to ensure the safety of the items that were left behind.
  • All items placed in the MSA storeroom will be tagged, numbered and will correspond with the register.
